Contact Us: The more information you can provide us with, the better we can help put together a hand-crafted itinerary and personal quotation for you. Things like your likely travel dates, what you're hoping for from your visit, the number of people in your private party, accommodation requirements (e.g., number of twin or single rooms), and kids (and their ages). Don't forget that all our Nepal and Bhutan holidays are private, and itineraries are simply suggestions. If things from several example itineraries appeal, we can look at ways to best combine them. Let us know if you'd like to discuss other tailor-made possibilities too. We're here to help. We aim to provide you with a personal quote within 2 working days or less.
Once you're 100% happy with your tailor-made tour, we'll send you a booking form for you to complete and return. A non-refundable deposit* is required at the time of booking. Before booking, please read our booking terms and conditions. They are very important.
Once your deposit and completed booking form have been received, we'll send you your personal booking confirmation**, along with an invoice for the outstanding balance of your holiday cost. We aim to send personal booking confirmations the same or next working day upon receipt of a completed booking form and deposit payment***.
**IMPORTANT - DO NOT BOOK YOUR INTERNATIONAL TRAVEL ARRANGEMENTS UNTIL WE HAVE CONFIRMED YOUR BOOKING
The outstanding balance payment for your holiday cost is due for payment*** no later than 36 days before the start of your holiday with us.
We'll send you comprehensive, personalised Final Joining Instructions approximately two weeks before the start of your holiday (providing you have paid the holiday invoice in full). This will include information such as "airport meet and greet" arrangements, contact information (e.g. Nepal office numbers, 24 hour emergency number, your guide's name and mobile number, first night accommodation address), and reminders to make sure you bring your travel insurance documents and permit photos with you. - Do please send us your full international flight details (flight numbers, times, dates) and any other information we have requested at least 4 weeks before the date of your arrival. This is so we can arrange your private airport transfers for arrival and departure. If you need your Final Joining Instructions sooner, we are always happy to assist.
*You will be asked for a 10% non-refundable deposit, which you can pay by bank transfer or by credit or debit card***. For your security, we recommend that you contact us by telephone if you prefer to pay by debit or credit card. Payments are accepted in USD only. LATE BOOKINGS bookings made 36 days or less before the start date require full payment before a booking confirmation will be issued. For all Late Bookings full payment by debit or credit card is accepted.
***Please note that any charges your bank may make for the transfer of funds to us in Nepal are not our responsibility, and we cannot be held liable for any charges your bank may make. Please ensure you are aware of and cover any bank transfer charges or currency transactions.
Important: If paying by Bank Transfer, the amount requested must be the full amount we receive. Any deductions that are made by the banks involved in the transfer process will be added to your final invoice (for deposit payments), or for final invoice payments, any deductions must be paid upon arrival in Nepal at your pre-trip briefing.
Regrettably, commision charges for credit and debit cards are higher than in many European and North American countries, and we are unable to absorb these costs. So, for any payments transacted by credit or debit card, a 4% commision will be charged in addition by the Nepal Operator.

Adequate travel insurance is mandatory for anyone booking with us. Not only must you have valid travel insurance, but it must be appropriate and adequate for your chosen itinerary.
There are essential levels of cover your travel insurance must have. We do not sell travel insurance, so we are not trying to profit here. Travel insurance is primarily for your own sake, and we appreciate that it is often something that is not readily understood or appreciated.
Before making a booking, or if you have already made a booking, it is important that you read our explanation as to not only why we insist upon you having travel insurance but also very specific things that must be covered.
For your own financial protection and peace of mind, we further advise that you consider "End Supplier Financial Failure Protection" as part of your travel insurance requirements.
You'll be provided with a COMPLIMENTARY KIT BAG (60 litre capacity) for you to use during the trekking/activity element of your holiday. This will be issued to you at your pre-trip briefing in Kathmandu. We regret that we are unable to post these in advance. Usually, you'll be able to leave luggage behind (for items not required during the trek/activity element). We'll advise you as to where there are left luggage opportunities dependent upon your chosen itinerary. These may include hotels that you will be returning to. Clients travelling to Bhutan via Kathmandu only will receive a complimentary kit bag. If you are travelling to Bhutan via another gateway, you'll need to bring your own "hold all style" kit bag
